The science of Interaction Management has a specific purpose:
Creation of a smart interface to foster a way of working that shall deliver
Good Governance. The minimum specifications it
must satisfy must therefore cover not only the needs of good governance
but also the needs for adoption.
The science analyzes knowledge work for synthesizing interaction.
The interactive processes viz., evaluation, innovation, strategizing, etc.,
or their mix, are treated as collaboration on content, synthesized by a set
of repeatable Actions. Norms and personnel discretion decide the Actions assembled
and their order of assembly. Knowledge exchange is thus perceived as independent
of the interactive process. The norms and relationships apply across departments
to help anticipate:
- The Document meta-data using the Knowledge Maps and any leading data;
- The next Action that may be assembled to the Document's processing; and
- The personnel who can satisfy the Action selected for the Document.
Figure: Smart Interface
The Figure above shows the interface. It is private and gives the message.
Views provide for meaningful drill down. It presents all the Documents, viz.,
events, a person is involved with. Categorization for maximum focus follows
automatically from Document capture and Action. The out-standing expectation
like Refer, Speak, etc., identifies the Documents-in-process. Following selection
of a Document, personnel select one of the Actions offered, per the norms, in
the Document workspace as shown below:

Figure: Document Workspace
Actions initiate:
- Transfer of accountability like move Up or Down. These Actions transfer
the Token for Action and update Done to sender, viz., no expectation;
- Interactions with expectations like please Speak or send Information.
The To-ken is transferred and sender updated with the expectation. These
interactions may be either sequential or parallel. They influence Action
recipients can take;
- Document operations like make Memo or add content; and
- Processes that change the Document State like Cancel or Dispatch.
- An Action effects coordination, collaboration and event progress by processing:
- The posts or personnel to whom the Document can be routed for the next
step;
- The posts or personnel that can follow up on the Action;
- Impact on recipient/s interface/s or Document State or databases or their
mix;
- Reorganization of the User's interface per the Action taken; and
- Categorization of the opinion registered (same as the Document meta-data)
and its relationship with the main discussion (See figure below) - it could
be a sub-string.
Figure: Recording Of Collaboration on
each Document
Each Action has its own set of norms. The norms are tenets of the science.
They were "discovered" by hypothesizing possible combinations of
Actions until all circumstances were covered and the Actions functioned in
harmony. The assembly of Actions can execute any valid Document workflow as
shown below:
Figure: Typical Spontaneous, Unstructured Workflow On A Document
The following illustrate the common sense and reality that founds the norms:
-
The Document forwarder transfers the right of Action
by awarding the Token.
-
If an Action like 'send Information' is outstanding,
the Document cannot be concluded downstream, viz., its State has to be maintained.
-
A Document that has been received must be linked to
the archives and recorded. A Response Document has to be created for dispatch.
The norms also define logic for conflict-free replication (could be PtoP),
e.g., cancellation of any upstream Action deletes the Actions assembled downstream.
The norms form the core of the science. By way of the Actions they integrate
the expectations with the organization structure and the Document taxonomy.
They provide the intelligence to anticipate and conduct the daily interactions
from the interface. The global similarity of teamwork makes the science, its
tenets and the intelligence derived universally valid . The interface harnesses
technology for:
-
Effortless step by step conduct of Business Communication,
viz., organizing contribution and the coordination of spontaneous and free
form (unpredictable) interactions on each Document leading to a unique polyglot
process;
-
Eliminating all anxiety that logically is an undesirable
sequence of Actions;
-
Smart capture of the Document metadata and content,
with historical links;
-
Doing work and controlling the chaotic progress of work
on each Document;
-
Conducting pre-defined workflows where no expectations
are outstanding;
-
Smart codification of Actions and the knowledge exchanged
for continuous co-ordination, contribution, capture, corporate storage,
access, and sharing;
-
A natural way to develop and manage content in context,
with accountability;
-
A flexible organization structure with re-routing for
re-assignments, smart se-curity for access restrictions and smart formation
of professional communities;
-
Privacy and classification of the Documents to limit
access;
-
Dynamic x-categorization of the interface (particularly
by outstanding expecta-tion) for swift review of Action and collaboration
on each pending Document;
-
A two level categorized Knowledge repository: Level
1 provides event history and content, and Level 2 the flow of opinion on
Level 1 as shown in Fig.2; and
-
Intelligent replication between networked servers, and
with the User's mobile computer, for comprehensive communication. Norms
eliminate file sharing conflicts for anytime and anywhere working to promote
the User's convenience (essential for the mobile user. Also enhances contemplation
time).
